1. Information we collect
Account information
When you create a facilitator or organization account we collect your name, email address, and a securely hashed password. For organizations we also store seat and membership details.
Event and session content
Content you create or upload to run an event — event titles and descriptions, agendas, handouts, knowledge-base text, branding assets, table layouts, and configuration.
Live session data
When a session is live, Tater processes audio from the room to produce text transcripts, and stores those transcripts along with generated summaries, polls, word clouds, and other activity results. Participants may provide a display name and responses to activities.
Support and usage data
Support tickets you submit, plus basic technical data (log and diagnostic information) needed to operate and secure the service.
2. How we use information
- To provide the service — run live sessions, transcribe conversation, generate summaries and activities, and manage your account, organization, and seats.
- To process billing and apply the subscription tier or metered features you use.
- To provide support and respond to your requests.
- To maintain security, prevent abuse, and comply with legal obligations.
We do not sell your personal information.
3. Service providers
To deliver core features we share the minimum necessary data with vetted providers who process it on our behalf:
- OpenAI — powers Tater's conversational responses and generated content (summaries, polls, images). Session text is sent to OpenAI to produce these outputs.
- AssemblyAI — converts session audio to text (speech-to-text), including optional speaker separation when enabled for an event.
- Hosting infrastructure — our application and database hosting provider.
These providers are bound by their own terms and data-processing commitments. We encourage you to review OpenAI's and AssemblyAI's policies for how they handle data they process.
4. When we share information
We share information only with the service providers above, within your organization (org admins can see the sessions and members of their organization), when required by law, or as part of a business transfer. We never sell personal data.
5. Data retention
We keep account and event data for as long as your account is active. Session transcripts and results are retained so you can access wrap-ups and shared recaps. You may request deletion of your account and associated data by contacting us; some records may be retained where required for legal or security reasons.
6. Your choices and rights
You can review and update your account details in your profile, and request access to or deletion of your personal data by emailing us. Depending on your location you may have additional rights under laws such as the GDPR or CCPA; we honor applicable requests.
7. Participants in a session
When a facilitator runs an event, that facilitator (and their organization) decides what is discussed and captured. In that context Tater acts as a processor on the facilitator's behalf. Facilitators are responsible for informing participants that the session is being transcribed and for obtaining any consent required by law. Participants can raise questions with the facilitator running their session.
8. Security
We use industry-standard safeguards including encrypted passwords, authenticated sessions, and access controls. No system is perfectly secure, but we work to protect your data and to promptly address issues.
Children
Tater AI is intended for professional and organizational use and is not directed to children. Do not use the service to collect information from children where prohibited by law.
Changes to this policy
We may update this policy from time to time. Material changes will be reflected by the "last updated" date above and, where appropriate, communicated to account holders.
